Information we collect

Information you provide

When you contact us, request an assessment, book a consultation, submit a form or otherwise communicate with us, we may receive the information you choose to provide, such as your name, work contact details, company, role, message and project requirements.

Information collected automatically

Our website may receive basic technical and usage information such as IP address, browser and device characteristics, pages viewed, referring page and event activity. We use this information to operate, secure and improve the website and understand demand.

02

How we use information

Business purposes

We may use information to respond to inquiries, provide requested services, assess AI opportunities, communicate about engagements, operate and secure our systems, improve our website and services, and meet legal or contractual obligations.

Data minimization

We aim to collect and use information that is reasonably necessary for the stated purpose. Customer project data is handled according to the applicable statement of work, security requirements and contractual terms.

03

Sharing and processing

Service providers

We may use trusted vendors for hosting, infrastructure, communications, analytics, scheduling, CRM or other business functions. Access is limited to what is reasonably required for the service.

Customer data processing

For customer engagements where InbuiltAI processes personal data on a customer’s behalf, the customer may act as controller/business and InbuiltAI as processor/service provider, depending on applicable law and the contractual arrangement. A separate data processing agreement may apply where required.

04

Retention and rights

Retention

We retain information for as long as reasonably necessary for the purpose collected, contractual obligations, legitimate business needs, security, dispute resolution and legal requirements.

Your choices

Depending on applicable law, you may have rights to access, correct, delete, restrict or object to certain processing, or request portability. Contact us to make a request. We may need to verify the request before acting on it.

05

AI-specific privacy language

AI systems

Where AI services are used, data handling depends on the solution architecture and customer requirements. We design appropriate controls for access, data minimization, retention, logging, model/provider selection and human review. Customer confidential data should not be submitted to public AI services outside an approved engagement or workflow.

International processing

Depending on infrastructure and service providers, information may be processed in countries other than where it was collected. Applicable contractual and legal safeguards should be established where required.

QUESTIONS

Need clarification?

Legal requirements can vary by jurisdiction, customer contract, data type and deployment model. Contact InbuiltAI for questions about how these principles apply to your engagement.

Recruitment and careers data

If you apply for an InbuiltAI role, we may process the information you provide, including your name, contact details, resume, professional profiles and application materials, to assess your application, communicate with you and administer recruitment. Application materials are restricted to authorized recruiting personnel and retained only for as long as reasonably necessary for recruitment, legal and business purposes, subject to applicable law.

We do not use candidate application information to make solely automated employment decisions. AI-assisted recruiting tools, if introduced, are subject to appropriate human review and governance.
